Payroll compliance starts before the challan.

Use this as a monthly control checklist for inputs, reviews, payments and records. Rates, thresholds and deadlines must be checked against the current legislation and applicable establishment or employee facts.

Before payroll calculation

  • Confirm the legal entity, locations, pay period, employee population and approved employee master changes.
  • Collect attendance, leave, joining and exit information, approved variable inputs and other relevant changes before the agreed cut-off.
  • Record exception decisions with a named approver instead of concealing unresolved inputs in a final worksheet.

During payroll and statutory working

  • Review pay components and the wage definitions relevant to each obligation rather than applying a single assumption everywhere.
  • Check PF and ESI membership and contribution treatment against current rules, relevant wage definitions and individual eligibility where applicable.
  • Check professional tax and labour welfare obligations against each relevant state or jurisdiction, including the applicable period.
  • Reconcile employee working records and approved payroll output with the associated contribution or filing preparation.

Before final release

  • Document variance review, exceptional payments, arrears, recoveries and the final payroll approval.
  • Confirm responsibilities for funding, remittance, return submission and retaining proofs. Each may be handled by different parties.
  • Keep a controlled record of the final signed-off output and any subsequent correction.

After the cycle

  • Capture filing acknowledgement and payment evidence where applicable, and reconcile exceptions against the approved payroll records.
  • Track notices, corrections or employee queries to a responsible owner and final closure.
  • Update process assumptions whenever the relevant statutory rule, state schedule or pay structure changes.
