Contractor documents are not a box-ticking exercise.

A principal employer may engage multiple vendors at one establishment. A reliable contractor-compliance process identifies which obligations apply, what documentary evidence is needed, and who follows up on missing or inconsistent information.

What is a contractor compliance review?

It is a review of the contractor relationship, establishment context, workers, records and supporting evidence against an agreed checklist of applicable obligations.

The checklist cannot be copied blindly between every contractor. Location, activity, work arrangement, employee population and prevailing legal framework can change what must be verified.

A useful vendor document request begins here

  • Confirm vendor identity, contract scope, engaged site or sites, approved deployment and responsible site contact.
  • Request relevant registrations or licences where applicable, with validity details and consistent establishment identifiers.
  • Check attendance, wage records and payment evidence for the same period and worker population; note missing rows or conflicting dates.
  • Where statutory contributions apply, reconcile working records with the relevant filing or remittance evidence rather than treating receipt of a file as proof of correctness.
  • Record clarifications, action owners, agreed due dates and closure evidence. Distinguish “not supplied” from “reviewed and compliant.”

What a useful audit finding contains

Every finding should identify the entity, period, document or record, nature of inconsistency, relevant legal basis or checklist control, action requested, accountable person and status.

An exception log that only states “non-compliant” rarely tells the site team what must happen next. A closure record should show which new evidence was received and who verified it.
